About Role
The Project Coordinator plays a key operational role in ensuring smooth coordination between clients, design teams, engineers, vendors, and site teams. This role is responsible for tracking project progress, managing documentation, scheduling meetings, and ensuring timely communication across all departments. The Project Coordinator acts as the central link that keeps the project organized, on schedule, and aligned with company standards.

Job Responsibilities: As a Project Coordinator, you will be responsible for :
Initial Consultation
- Participate in the initial virtual meeting with the client, design team, and construction team to understand project requirements, preferences, and budget.
- Review any existing plans, photos, and documentation provided by the client to facilitate coordination between design and construction teams.
Communication Bridge
- Act as the primary liaison between the design team and the construction team, ensuring clear and consistent communication.
- Relay design concepts, plans, and modifications from the design team to the construction team.
- Communicate construction progress, challenges, and feedback from the construction team to the design team.
Project Planning and Scheduling
- Assist in developing detailed project plans, including timelines, milestones, and resource allocation.
- Ensure that project schedules are coordinated between design and construction phases to maintain a smooth workflow.
Coordination Meetings
- Schedule and facilitate regular meetings between the design and construction teams to review progress, discuss issues, and make decisions.
- Ensure that all team members are informed of any changes or updates to the project plan or design.
Documentation and Reporting
- Maintain organized records of all project documents, including plans, drawings, specifications, and meeting minutes.
- Prepare and distribute regular progress reports to the client, design team, and construction team.
- Ensure that all documentation is updated and accessible to relevant team members.
Problem Resolution
- Identify and address any issues or conflicts that arise between the design and construction teams promptly.
- Work collaboratively with both teams to develop solutions and ensure project continuity.
- Escalate significant issues to senior management as needed.
Quality Control and Compliance
- Monitor construction activities to ensure they align with design specifications and quality standards.
- Coordinate with the design team to verify that any changes or modifications are implemented correctly.
- Ensure that all work complies with relevant regulations and industry standards.
Resource Management
- Coordinate with suppliers and subcontractors to ensure timely delivery of materials and services.
- Assist in managing project budgets and resources to avoid delays and cost overruns.
Client Interaction
- Serve as a point of contact for the client, providing updates and addressing any concerns or questions.
- Ensure that client feedback is communicated to both the design and construction teams and incorporated into the project as appropriate.
Final Review and Handover
- Assist in scheduling the final review meeting with the client, design team, and construction team to walk through the completed project.
- Ensure that any final adjustments or punch list items are addressed promptly.
- Help prepare and deliver a comprehensive package of final project documents, including as-built drawings, warranties, and maintenance guidelines.
Post-Completion Support
- Provide ongoing support to the client after project completion to address any questions or concerns.
- Coordinate with the design and construction teams to resolve any post-completion issues that may arise.
